Start with Settings → Permissions and Settings → Microphone Priority. Most recording problems come from a missing operating-system permission or an unexpected input device.
Recording does not start
- Open Settings → Permissions.
- Confirm Microphone and Screen & Audio Recording show Granted.
- Select Grant access beside anything missing.
- If screen recording is enabled, open the meeting window before starting so Heizen can identify and capture it automatically.
- Try + Quick Meet again.
If Home sends you directly to System Settings, screen recording permission is missing. Enable Heizen Meets, then return and retry.
My voice is missing or the wrong microphone is used
- Confirm the intended microphone is connected and available to the operating system.
- In Settings → Microphone Priority, drag it above Auto (system default).
- Start recording again.
- During a live meeting, open Live transcript and use the microphone selector to switch devices immediately.
Devices below Auto are intentionally excluded from automatic selection.
Other participants are missing from the transcript
System audio permission is likely missing. Return to the permissions flow or the operating system’s privacy settings and allow Heizen Meets to capture system audio. Microphone permission alone records your voice, not the meeting output.
The transcript is empty
- Confirm the correct microphone and system audio permissions.
- Make sure the detected meeting window is still open. If Heizen cannot match it, the recording falls back to the entire screen.
- Speak and check whether Waiting for speech… changes to interim text.
- Wait for Processing to complete after stopping.
A completed meeting with no captured speech shows No transcript available.
Calendar events do not appear
- Open Settings → Calendar.
- If it says Connect your calendar, select Connect and finish the Google Calendar connection in Heizen Studio.
- Return to Heizen Meets and confirm Active and Connected.
- Verify that the event is scheduled for today.
Home shows only today’s events. No events scheduled for today can therefore be correct even when the connection is healthy.
Join opens the call but Heizen does not record
Join and Record are separate. Return to Home and select Record on the event, or select Take Notes when Heizen detects the active call.
Meeting-detected notifications do not appear
- Open Settings → Notifications.
- Turn on Auto-detected meetings.
- Check whether the meeting app is selected under Don’t notify me when a call is detected in these apps.
- Confirm the meeting app is using the microphone.
For a browser call, use a supported meeting URL. A generic browser tab is not enough for reliable detection.
Scheduled reminders do not appear
Confirm Scheduled meetings is enabled and Google Calendar is connected. Reminders are designed to appear one minute before the event starts.
The meeting stays in Processing
Keep Heizen Meets connected and reopen the meeting after a short wait. If it remains in Processing, check your network connection and restart the app. Your personal notes can still be edited while processing continues.
The assistant cannot answer
- Wait until the meeting has an active ID and transcript context.
- Stop a stuck streaming response and retry with a shorter question.
- Remove an attachment that exceeds 5 MB or is not an image, PDF, or plain-text file.
- Attach no more than three files to one message.
An update fails
Open Settings → About, note the displayed error, and select Check Now again. If a download completed, use Install & Restart. Make sure Heizen Meets can restart before installing.
Reset skipped permissions
You do not need to rerun onboarding. Open Settings → Permissions and grant the missing access directly. If the operating system still reports access as denied, enable Heizen Meets in its privacy settings and restart the app.
